Deactivating Members Through Member Import

If members of your program regularly become ineligible for the benefit of your Perks and Discounts program, you may want to do a periodic deactivation of anyone who should no longer have access to your Abenity Program.  

Programs that use Abenity's API for Single Sign-On can configure the API to deactivate member's accounts for you. Members can also be deactivated one-by-one through the Member List in your Back Office. However, if you need to do a larger deactivation of a group of members monthly or quarterly, it's often easiest to do it through the process below. 

1. Export All Members

Export your member file from the Back Office using the Export Tool.  For your purpose here, export the file in an Excel format.  Remember that this file includes information for your entire member group, so it's important to treat this private information as such. 

2. Filter Member Information

Second, you'll use your own member data to filter the member profiles from your Abenity program and identify any members whose eligibility has ended and whose profiles require deactivation. 

Important Note: Don't delete any of the columns of information. When re-importing the filtered member profiles later, you'll need to import the full member profile for each account. 

3. Update Privilege Levels

When you do your member export, you'll notice a "Privilege Level" column that will include a number. This number represents the member's access to Abenity. 

  • 0 = a deactivated member
  • 1 = a basic member
  • 5 = a Client Administrator (Back Office Access)

Once you've filtered down the list to just the accounts that need to be deactivated, change their "Privilege Level" column to a "0" in your file.

4. Prepare File for Import

Member Import files must be in a specific format, with the proper headers and the columns of data in the correct order, for the import to work correctly. Download the "Example Excel Spreadsheet" from the Member Import Page in the Back Office to see the correct format for the file. Adjust your file or copy and paste your member's information into the pre-formatted example spreadsheet to insure correct formatting. 

Export this formatted file of member accounts ready for deactivation into a .csv.

5. Re-Import Members to Deactivate

Upload the .csv file to the Member Import Tool in the Back Office

Select the option to "Update Privileges Only" and start the member import. You'll receive a preview of the number of accounts that will be deactivated and will then be able to complete the member import in the Back Office.
